Privacy Policy

This Privacy Policy explains how Volunteer Tracker collects, uses, stores, and shares information when organizations, staff, volunteers, and household members use the platform.

1. Information We Collect

We collect information you provide directly to us, information organizations upload or manage in the course of volunteer coordination, and limited technical information needed to operate the service.

  • Account data such as name, email address, phone number, password, and email verification status.
  • Authentication data such as session information, passkey/WebAuthn credential metadata, and security logs.
  • Volunteer profile data such as date of birth, gender, household/dependent relationships, attendance, hours worked, and signup history.
  • Workspace and organization data such as workspace name, organization details, director contact data, opportunity details, and coordinator assignments.
  • Operational message data such as password reset, verification, reminder, invite, and admin digest email delivery events.
  • Technical data such as IP-adjacent request metadata, browser/device hints, and essential cookies needed to keep sessions secure.

2. How We Use Information

We use personal information to operate the platform and provide volunteer coordination features, including to:

  • Create and secure user accounts and workspace access.
  • Publish opportunities and let volunteers or households sign up, cancel, and manage attendance.
  • Track check-in, hours worked, reminders, waitlists, and reporting exports.
  • Send transactional emails such as verification, password reset, volunteer invites, event reminders, and admin digests.
  • Monitor service health, investigate abuse, troubleshoot errors, and improve product reliability.
  • Enforce plan limits, workspace rules, and security requirements.

3. Cookies, Sessions, and Similar Technologies

Volunteer Tracker uses essential cookies and related session technologies to keep you signed in, protect accounts, and support security-sensitive features like authentication and passkeys.

We do not currently use the app for third-party behavioral advertising, and we do not currently use ad-tech cookies to profile volunteers or staff across unrelated websites.

4. How We Share Information

We do not sell personal information. We share information only as needed to operate the service, comply with law, or protect rights and safety.

  • Within a workspace, authorized staff may access volunteer, organization, signup, attendance, and reporting records according to their role.
  • We use service providers to help operate the platform, including hosting/infrastructure providers, database/storage providers, authentication tooling, and email delivery providers such as Resend.
  • We may disclose information if required by law, regulation, subpoena, court order, or similar legal process.
  • We may share information when reasonably necessary to investigate fraud, abuse, security incidents, or misuse of the service.

5. Children and Dependent Volunteers

Volunteer Tracker supports family and household management, which means organizations or account owners may store information about minors or dependents, including names, dates of birth, and attendance history.

The service is intended for organization-managed volunteer coordination, not for children to independently create consumer accounts. If you upload or manage a child's information, you are responsible for having the authority and consent required to do so.

6. Data Retention

We retain information for as long as reasonably necessary to provide the service, maintain auditability, support workspace reporting, enforce security obligations, resolve disputes, and comply with legal requirements.

Because historical hours, signups, and attendance records are core to the product, deleting an account or workspace may not immediately remove all operational records if we need them for legitimate business, contractual, or legal purposes.

7. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. That includes access controls, authentication protections, password hashing, and secure email and database integrations.

No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security.

8. Your Choices and Rights

Depending on where you live, you may have rights to access, correct, delete, or request a copy of certain personal information. Workspace admins may also be able to update some volunteer and organization records directly in the app.

9. International and Regional Disclosures

If you access the service from outside the United States, your information may be transferred to and processed in countries where we or our service providers operate. We rely on contractual and operational safeguards that are reasonable for a product of this size and stage.

California residents may have privacy rights under California law, and individuals in other jurisdictions may have additional rights under local law. We will evaluate and respond to requests as required by applicable law.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the effective date on this page. Material changes may also be communicated through the app or by email when appropriate.
