Terms of Service

By accessing or using Volunteer Tracker, you agree to these Terms of Service. If you are using the service on behalf of an organization, you represent that you are authorized to bind that organization to these terms.

Volunteer Tracker is a workspace-based volunteer coordination platform. It helps organizations manage volunteer profiles, household records, opportunities, signups, attendance, reminders, hours, and related reporting.

We may add, remove, or change features over time, especially while the self-serve free plan and Pro offering continue to evolve.

• You must provide accurate information when creating an account or workspace.
• You are responsible for maintaining the confidentiality of your login credentials and passkeys.
• Workspace owners and admins are responsible for role assignments and for managing who can access workspace data.
• You must notify us promptly if you believe an account or workspace has been accessed without authorization.

If you operate a workspace for an organization, you are responsible for the information you upload, manage, or send through the service, including volunteer, household, and dependent information.

You represent that you have the rights, notices, permissions, and consents necessary to use that data with Volunteer Tracker, including where minors or dependents are involved.

You may not use the service to:

• Break the law or violate the rights or privacy of others.
• Upload malicious code, attempt unauthorized access, or interfere with the service.
• Send spam, phishing, harassment, or deceptive communications.
• Use the service to store data that you are not authorized to control or share.
• Reverse engineer, scrape at abusive volume, or misuse the platform beyond its intended volunteer coordination purpose.

Volunteer Tracker currently offers a conservative self-serve free workspace tier. As of this effective date, the free tier is intended to support:

• 1 workspace
• 1 organization
• 1 owner/admin account at launch
• Up to 5 upcoming opportunities
• Up to 75 volunteer profiles

The free tier is intentionally limited. Features, limits, availability, and pricing may change as the service evolves. Paid plans may be introduced later with additional terms.

By using the service, you agree that Volunteer Tracker may send necessary transactional and operational emails, such as verification messages, password resets, volunteer invites, reminder emails, and admin digests.

You are responsible for ensuring your workspace uses the email features lawfully and with appropriate permissions.

We aim to keep the service available and reliable, but we do not guarantee uninterrupted availability, specific uptime, or that every feature will remain unchanged.

We may suspend or restrict access if necessary to protect the service, investigate misuse, comply with law, or enforce these terms.

Volunteer Tracker and its underlying software, design, content, and branding are owned by us or our licensors. Subject to these terms, we grant you a limited, non-exclusive, revocable right to use the service for its intended purpose.

The service is provided on an “as is” and “as available” basis. To the maximum extent permitted by law, we disclaim warranties of merchantability, fitness for a particular purpose, non-infringement, and any warranty that the service will be uninterrupted, error-free, or completely secure.

To the maximum extent permitted by law, Volunteer Tracker and its affiliates, service providers, and licensors will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for loss of data, goodwill, profits, or revenue arising from or related to the service.

To the maximum extent permitted by law, our total liability for claims arising out of or relating to the service will not exceed the amount you paid us for the service in the 12 months before the event giving rise to the claim. If you have only used a free plan, that amount will be zero.

You may stop using the service at any time. We may suspend or terminate access if you violate these terms, create risk for the platform or other users, or if we decide to discontinue some or all of the service.

We may update these Terms of Service from time to time. When we do, we will revise the effective date on this page. Continued use of the service after an update becomes effective means you accept the revised terms.
